Show rate for sales calls: what is a good show rate, and how do you increase it?

Show rate is the share of booked sales calls that happen: calls held divided by calls booked for the same period. It is Seam 05, BOOKING to SHOW, in The Thirteen Seams by Jon Weberg, whose 22 closer floor at AI Acquisition moved its show rate from 19% to 43% in about a month.

  1. Held divided by booked for the same period is the show rate, with every cancellation counted as booked and not held.
  2. 19% to 43% in about a month on a 22 closer floor at AI Acquisition, with $1,322,312 collected that month.
  3. About 74% of first calls were held on a brand new six closer floor at Tax Strategists of America in October 2026.
  4. About 23% is the average no show rate across 105 studies of scheduled appointments (Health Policy, 2018, healthcare); no peer reviewed sales call benchmark exists.
  5. $260,400 a year is the value of each 10 points of show rate on 200 booked calls a month in an illustrative $5,000,000 company.
  6. Five minutes after booking is when a human voice reaches the prospect, and minute one of a missed start is when the closer dials.

What is show rate?

Show rate is the number of sales calls that happen divided by the number booked for the same period. Its complement is the no show rate, and the two always add up to 100%.

You already know the moment the formula turns into a feeling, because it is minute six, your closer has the room open with a coffee going cold beside the keyboard, and the square where your prospect's face belongs is still grey, while the ad that found that person and the setter who booked them were paid for days ago, weren't they?

Definition

Show rate is calls held divided by calls booked to take place in the same period, multiplied by 100. A call counts as held when the prospect joins, including after the closer dials them in.

Show rate lives in Seam 05, BOOKING to SHOW, the handoff between your setters or marketing team and your closers, and like every revenue seam it has no owner. Your setter's job ends at the booking and your closer's begins when the prospect appears, so the hours between them sit on no job description, no dashboard and no comp plan, which is exactly where the four reasons a prospect drops are left to do their work:

  • Time passes, and the reason they booked fades behind the rest of their week.
  • The value of the call is left unclear, so the slot reads like a pitch they agreed to sit through.
  • Nobody asked for a confirmation, so no promise was ever made out loud.
  • Disappearing costs them nothing, because nobody on your side will notice until minute ten.

None of those four is your lead quality or your closer's talent, and every one of them can be owned by a named person with a clock, which is why the same calendar that sits half empty today is the one that, further down this page, a 22 closer floor turned around inside about a month.

What is a good show rate for sales calls?

No peer reviewed benchmark for sales call show rate exists. The published figures are vendor estimates with no shared counting method, plus one healthcare review that measures a different kind of appointment.

The benchmark that tells you something is your own number, counted the same way every month and split by days between booking and call, so when you put last month's figure beside the 74% a brand new floor held on its first calls in October 2026, which side of that line does your calendar fall on?

How do you calculate show rate honestly?

Show rate equals calls held divided by calls scheduled to take place in the same period, multiplied by 100. March's show rate is March's held calls over March's scheduled calls, whenever those calls were first booked.

The counting rules below keep the number from flattering you, because a show rate that quietly drops cancellations will report the gap as closed while your closers keep opening empty rooms, and you would rather know the real figure today than defend a pretty one in a quarterly review, wouldn't you?

Then split the same figure by the days that passed between booking and call, because that curve tells you where to close your calendar more precisely than any average ever will.

What does a poor show rate sound like inside a company?

A poor show rate sounds like acceptance. Two sentences carry it in almost every sales floor that has not yet given the gap an owner:

  • "No-shows are just part of the business."
  • "We send three reminders, what else can we do."

You have heard both of them in your own building, and the second one is said by someone who cares, which is what makes it worth listening to closely, because three reminders sent on a schedule are a broadcast, and a broadcast is what a team sends into a gap that nobody owns, isn't it?

Hand that same gap to a person with a clock and the work changes shape, from recovering the people who drop to removing the reasons they drop, so when the prospect replies YES, who on your team sees it, and what happens on the morning nobody replies?

What does a low show rate cost a $5,000,000 company?

Each 10 points of show rate on 200 booked calls a month is worth $260,400 a year in an illustrative $5,000,000 company. The arithmetic needs no new ad spend, because every one of those calls was already booked.

Illustrative example by Jon Weberg, 2026. Assumes 200 booked calls a month, a 25% close rate and 1,152 new customers a year.

Real launches price the slot the same way, and on Coach Kyle's live launch of 30 August 2026, where 412 registered, 142 came live, 37 applied and 30 calls were booked, the 4 closes at $6,800 put $27,200 across those 30 bookings, so every slot on that calendar carried about $907 whether anyone sat in it or not.

If one booked slot on your calendar is worth $907, what did last week's empty ones cost, and who signed off on that number?

How do you raise show rate by hand?

You raise show rate by owning the hours between booking and the call. Five steps do it, in this order:

  1. Measure the gap by day. Split last month's show rate by days between booking and call.
  2. Call within five minutes of booking. A human voice confirms the time and the reason they booked.
  3. Send a text that asks for a reply. A YES is a promise the prospect made to themselves.
  4. Shorten the booking window. Close the calendar beyond 48 to 72 hours where capacity allows.
  5. Write the closer's minute one dial into the CRM. A task fires on its own, and a field records whether it happened.

Each step costs minutes rather than headcount, and since the steps answer the four reasons in turn, you can feel the first one working inside a week, the moment a prospect hears a voice before the confirmation email has even arrived, can't you?

What should happen in the first five minutes after someone books?

A human voice reaches the prospect within five minutes of the booking. At that moment they are still at the desk, the tab is still open and the reason they booked is still the loudest thing in their head.

The call takes about three minutes: your setter confirms the time, asks what made them book today, states the one thing they will walk away with, and asks them to say the day and time back, the step that Martin, Bassi and Dunbar-Rees reported in the Journal of the Royal Society of Medicine in 2012 (healthcare), where receptionists who asked patients to repeat their appointment time saw missed appointments fall 3.5% the following month, and it is the same speed to lead clock that decides whether a form fill ever turns into a conversation, and it matters most for the bookings that land after your office closes, the scene in the lead who came in at 11pm.

What should a confirmation text say?

A confirmation text names the closer, states what the prospect walks away with and asks for a reply. It goes from the closer's own number, so tomorrow's name on the screen is one they already answered. In the same 2012 Martin study, nurses who let patients write the date and time on the appointment card themselves saw 18% fewer missed appointments than the previous six month average, and a reply to a text is the nearest thing you have to handing your prospect the pen.

"Hi [first name], it's [closer's name]. You're with me [day] at [time and time zone], and I'll walk you through where your leads went last quarter and the first fixes I'd make. Reply YES and I'll have your numbers pulled before we talk."

The email that follows within the hour repeats the outcome, names the closer, carries the invite and says what to have open, so by that evening your prospect knows what they are getting, who is giving it and what they already agreed to, and when the YES never arrives your setter gets a call task the next morning, which is the whole difference between a reminder and an owner.

How far out should you let prospects book?

Keep the booking window at 48 to 72 hours where your closers' capacity allows. Every extra day lets the reason they booked fade.

The clearest data on lead time comes from medicine, where McMullen and Netland's 2015 study in Clinical Ophthalmology of 46,655 eye clinic appointments found the resident clinic's no show rate rose from 9.1% for visits booked up to two weeks out to 38.3% for visits booked about six months out, and when a prospect of yours needs next Wednesday, your setter books it by phone with a touch scheduled for the middle of the wait.

What reminder timeline works?

The reminder timeline that works mixes voice and text, gives every touch a named sender and asks for replies. Across 21 studies pooled in BMJ Open in 2016 (healthcare), people who got appointment notifications missed 15% of appointments against 21% for people who got none, and multiple notifications beat a single one.

The eight touch timeline, Jon Weberg, 2026. The common vendor alternative is three reminders at 24 hours, 1 hour and 1 minute (Chili Piper, 2026).

Prospects who never booked belong to a different handoff, the one a seven day lead follow up sequence turns into booked calls, so the eight touches above stay reserved for people who already said yes once, don't they?

Should closers dial at minute one or wait?

Closers dial at minute one. A prospect two minutes late is still at a desk or in a car and one tap away from joining.

The common advice runs the other way, and Hyperbound's 8 minute rule (14 November 2025) tells reps to wait about eight minutes before disconnecting, with no formal research behind it, and RevenueHero (20 March 2024) found that 61% of its scheduler users followed up after a missed meeting, so 39% of them let the empty slot stand, while a prospect left alone until minute ten has already filed your call under things that did not happen today. When Jon built the CRM that AI Acquisition runs on, the lead routing, what reps tell leads and what they say on calls were written into the system, because a step that lives in good intentions disappears on the first busy afternoon, so your closer's minute one dial earns the same three things: a written step, a task that fires on its own, and a field that records whether it happened.

At minute two of your next no show, what does your closer do, and where would you look tomorrow to prove it?

What does an AI employee do inside the show rate seam?

An AI employee makes the five minute call, sends the reply text, reconfirms on the morning of the call in the prospect's time zone and hands the closer a no show task at minute one. The closer's dial stays with a human.

That split matters because the touches before the call are timing work, the kind a person forgets on a Friday afternoon, while the dial at minute one is a relationship moment, so the appointment confirmation AI employee carries the clock and your closer carries the voice, and a booking that lands at 11:40 at night still hears from someone inside five minutes, doesn't it?

The build for an AI sales agent in GoHighLevel walks through the scope, the prompt and the handoff rules that keep the AI employee on the confirmation work and the closer on the call, so the setter hours released go back into conversations rather than reminders.

What does the record show?

A 22 closer floor at AI Acquisition moved its show rate from 19% to 43% in about a month and collected $1,322,312 that month. Jon Weberg served there as Fractional President, directing the Sales, Marketing and Media Buying Directors.

Show rate on a 22 closer floor in about a month, with $1,322,312 collected that month, inside a $70,000,000 a year business still running today on the CRM Jon built.

That number is the open loop from the top of this page, and the way it closed matters more than its size, because the hours between booking and call were given an owner, written steps and a field that records them inside a CRM that holds the lead routing, what reps tell leads and what they say on calls, so the move came from the gap and not from new leads or new closers, which is the same move available on your floor this month, isn't it?

Questions people ask about show rate?

What is the difference between show rate and no show rate?

They are complements. Show rate is calls held divided by calls booked. No show rate is the share of booked calls where nobody arrives. A 43% show rate is a 57% no show rate. Report one of them and keep its counting rules fixed.

What do you say to a prospect who missed the call?

Reply inside the hour with one specific reason to rebook and two exact times. Send it from the closer's own number and name what the prospect was due to walk away with, so the message reads as a held seat rather than a chase.

Does a deposit increase show rate?

A deposit raises the cost of disappearing, which is one of the four reasons prospects drop. It works best when the call is the paid product. For an unpaid sales call, a stated outcome and a reply text carry more weight than a deposit.

Does show rate differ by how the call was booked?

Yes. Focus Digital's estimates (14 September 2026, approximated from published data) run from 8% no shows for instant booking at form fill to 33% for paid social lead forms and 42% for outsourced appointment setters. Treat them as estimates and measure your own channels.

Is a no show on a sales call the same as an abandoned cart?

They are the same seam in two business models. Both are a commitment followed by a gap before the next step. Booking to showed in a sales model is cart to checkout in ecommerce, and both close the same way: an owner, a clock and a reason to return.
